From setup to the first working day

Choose the services your team needs alongside its subscription.

Domain and account setup

Verify domain access, prepare mailboxes and record administrator ownership.

A planned migration

Agree which messages, calendars and contacts can move. Test a pilot and confirm the cutover window.

A clear handover

Check sending, receiving and user access. Document the approved configuration and ongoing support scope.

Start with the mailbox inventory

Count users and distinguish individual mailboxes from aliases, groups and shared addresses. List existing mailbox sizes, calendar and contact needs, and historical data that must remain available. Review devices and applications that send mail on behalf of the business. This inventory prevents a provider comparison from relying only on the price of a single mailbox. It also identifies data and access responsibilities before a migration method is selected.

Plan DNS and authentication together

Professional mail depends on both delivery routing and sender authentication. Confirm who can edit DNS and identify every authorised sending system, including the website and billing tools. Review MX routing separately from SPF, DKIM and DMARC. Apply the destination provider’s current instructions and test legitimate messages before changing enforcement. Keep records of previous DNS values and agree the mail-flow validation tests for the cutover window.

Choose administration and retention deliberately

Name the organisation that owns the tenant and the administrators who can approve accounts or licences. Consider how users join, leave and recover access. Retention and mailbox recovery depend on the chosen edition and configuration; an active subscription is not automatically an independent backup. Review migration fees and ongoing administration separately from subscription pricing. Confirm what data, settings and account access will be handed over at the end of the engagement.

Management and customer responsibilities

A subscription gives your organisation the provider features available in its purchased edition. CloudLelo onboarding, migration and ongoing tenant administration are scoped separately. Your business remains responsible for account approvals, content, authorised users, retention decisions and its application or device policies. Confirm who holds administrator access and how a future handover will work before purchasing.

Agree who handles each task

A task is assigned to CloudLelo only when it appears in the agreed management scope.

Move email with a clear sequence

Keep your users and mail flow in view.

01

Review your current setup

Count users, aliases, shared addresses and historical data. Identify the person authorised to approve the move.

02

Prepare and test

Verify the domain, create destination accounts and test a pilot before changing mail routing.

03

Migrate and change DNS

Transfer the agreed data and update records in the approved window. Record exceptions and rollback decisions.

04

Check and hand over

Test mail flow, devices and access. Hand over tenant ownership, account instructions and agreed support contacts.

Business Email: practical questions

Understand the configuration and responsibilities before requesting an order.

Which providers can we compare?

Discuss Google Workspace, Microsoft 365 and Zoho Mail according to mailbox, collaboration and commercial requirements. Exact editions and reseller terms are confirmed in your quotation.

Can our website and CRM keep sending email?

Inventory all legitimate senders and review their authentication with the mail provider. Mailboxes and application sending services can have different configuration and licensing requirements.

Can we move calendars and historical mail?

The migration scope depends on the source, destination, available tools and data types. Request a written inclusion list and pilot validation before assuming all items transfer identically.

How is this service priced?

The quotation identifies resources or subscriptions, selected operating work, taxes, licences and commercial commitments. Consulting and provider consumption charges are reviewed separately.

What should I send with an enquiry?

Describe the application or provider, current setup, users, data size and intended change. Avoid passwords, private keys and confidential business records.

Are backups or recovery included?

Confirm protected data, frequency, retention, storage location and restore responsibilities separately. Provider retention features do not automatically establish an independent backup arrangement.

How are support and management defined?

The approved scope lists tasks, channels, escalation and maintenance responsibilities. Any support hours or response commitments must be agreed for the service.

Can the configuration or subscription change later?

Changes depend on availability, software and commercial commitments. Review potential interruption, data, licences and costs before approving a resource or subscription change.
