Prepare authorised remote access and confirm whether the connection is for administration or for application users.

Before you begin

Obtain the server endpoint, authorised account and approved access method. Confirm network requirements with the administrator. Staff application access and administrative access can have different Microsoft licensing requirements; the server resource price does not settle those rights.

Work through the checklist

  1. Confirm access approval. Ask the administrator which account and endpoint to use, and whether a VPN, gateway or other controlled access path is required.
  2. Open the approved client. Use a remote desktop client supported for your device and environment. Enter the provided computer or workspace details according to that client’s instructions.
  3. Check identity and credentials. Review unexpected identity or certificate warnings with the administrator. Use the authorised account and avoid sharing passwords through the enquiry form.
  4. Validate the intended session. Confirm you are in the expected environment and that the account has only the required permissions. Follow application vendor guidance for business software.
  5. Report connection problems safely. Record the client, endpoint, error and time. Ask for a check of access rules, account status and the configured remote access service. Do not change firewall rules without approval.

Access design and licensing remain separate decisions

A successful connection does not prove that every user has the appropriate software rights. Review Windows, RDS and application entitlements for the actual usage with the authorised supplier or administrator. Keep onboarding and departures documented.

Example and limits

A staff member using an accounting application and an administrator maintaining Windows may need different access models. This article provides connection preparation, not a licence recommendation or a guarantee that RDP is exposed on a public address.

Document the next action

Record the decisions, the person authorised to approve changes and the evidence used to validate the result. Keep passwords, private keys and confidential business data out of planning notes shared through an initial enquiry. Revisit the record when the application, access requirements or commercial agreement changes.
